Obtaining personal data

If you make use of our services, you provide us with your personal data in order for us to be able to provide these services. This can be done for example during a conversation, via our website, by email, telephone or in any other way. It is also possible that we obtain your personal information through third parties as part of the coaching process.

Personal data

Coaching Rotterdam processes the following categories of personal data:

• Name and address details
• Contact details, such as e-mail address and telephone numbers
• Date of birth and gender
• Photograph
• Learning objectives, expectations, interview reports and -duration
• Coach context related data such as name of partner, manager or colleague
• Content of communication
• Results of questionnaire and tests

Purposes

Coaching Rotterdam processes these personal data for various purposes, such as:
•    Maintaining contact;
•    Offering a personal coaching trajectory and recording personal information for that purpose;
•    A good and efficient service;
•    Client database management and invoicing;
•    Carrying out administrative tasks, such as planning and marketing;
•    Fulfilment of legal obligations and/or the proper handling of disputes;
•    Being able to offer personalized advertisements or newsletters and information on the website (see also the text under the heading profiling);

What is the processing based on
Your personal data will be processed in order to execute the agreement with you regarding the coaching process. Your personal data can also be processed in order to comply with a legal obligation, such as obligations based on tax law.

If personal data is processed on the basis of permission, this will be requested separately.

Distribution to third parties
In the context of our services, personal data may be provided to third parties. For the aforementioned purposes, use may be made of services provided by third parties, such as our IT suppliers, Coaching Monitor, CSR questionnaires, DISC analyses (or other agencies that conduct tests) or other third parties engaged in the coaching process.

These third parties may also only process your personal data for the aforementioned purposes. Your personal data may also be provided within the framework of a legal obligation or court order.

We will not provide your data for commercial or charitable purposes.

Transmission of your data outside the EEA
The EEA is the European Economic Area, comprising the countries of the European Union, Liechtenstein, Norway and Iceland. Your personal data will be processed within the EEA by our cloud provider based in the Netherlands.

In addition, your data may be stored by third parties outside the EU when using Google Mail or LinkedIn, Whatsapp or Facebook in the contact. These parties are "EU-US Privacy Shield"-certified, so they will comply with the European privacy regulations.

How long we store your data
Your personal data will not be kept longer than necessary for the purposes mentioned in this privacy statement. This means that your personal data will be kept as long as they are necessary to achieve the purposes in question.

However, certain data must be kept for a longer period of time because we have to comply with legal retention obligations, such as the tax retention obligation or being able to demonstrate the coach hours rendered for (re)certification at occupational associations such as NOBCO and ICF.

How we secure your data
We value the protection of your personal data against loss or unauthorized access. Therefore, we have taken appropriate security measures. These include two-step authentication, encrypted passwords with more than 12 characters (via LastPass), the use of Ubikey and exclusive access to servers from predetermined IP addresses.

Profiling
We combine the personal data from the various sources such as the website, our conversations, etc. in order to be able to offer you personalised offers and information.

Cookies
On the website, only functional cookies are used to improve online services. Cookies are used to process your IP address and your device's system information.

Your rights
You have the right to request us to inspect your personal data. After receiving your request, you will receive an overview of your personal data within 1 month. If this reveals inaccuracies, you can ask us to adjust, supplement, remove or shield your personal details.

You can also request us to transfer your personal data or you can object to the processing of your personal data due to special personal circumstances.
